3.4 Account Accuracy

You agree to provide accurate, current, and complete information and to update it promptly if it changes. Providing false or misleading information is grounds for immediate account suspension.

4User Roles and Permissions

The Platform operates a role-based access control system. Each user is assigned one or more roles within their organization. Roles determine which features and data a user can access. DigitalTag staff may assign, modify, or revoke roles at any time. You are responsible for all actions taken by users within your organization's account.

5Publisher Obligations

5.1 Screen Registration

Publishers must accurately register each physical screen, including its legal name, precise GPS coordinates, physical dimensions, resolution, venue type, operating hours, and daily pricing. Misrepresentation of screen specifications is a material breach of these Terms.

5.2 Screen Availability and Uptime

Publishers are responsible for maintaining their screens in operational condition. The Platform monitors screen health through automated heartbeat signals. Publishers acknowledge that:

  • The Platform records heartbeat timestamps, last sync times, IP addresses, network type, SSID, MAC address, firmware version, and device telemetry from player devices.
  • Screens that are offline for extended periods may be flagged and temporarily removed from the bookable inventory.
  • Publishers are responsible for ensuring their screens display booked campaigns during the agreed campaign dates.

5.3 Content Display

Publishers must display approved campaign creatives on their screens as booked. Publishers must not interfere with, modify, or suppress the display of approved campaign content during booked time slots.

5.4 Proof of Play

The Platform automatically records proof-of-play data from player devices, including the asset displayed, timestamp, screen ID, region ID, campaign ID, creative ID, and playback duration. This data is used for billing verification and advertiser reporting.

6Advertiser and Agency Obligations

6.1 Campaign Creation

ApproveCampaign goes live automatically on the start date
Request ReworkSpecific notes on required changes are provided
RejectCampaign rejected with reasons provided

You will receive email notifications for all QC decisions. DigitalTag's QC decisions are final. Repeated violations of content standards may result in account suspension.

6.4 Campaign Scheduling

Campaigns automatically transition to Live status on the start date and to Completed status after the end date. You may pause, resume, or suspend a campaign at any time. Paused campaigns stop displaying immediately.

6.5 Slot Booking and Availability

Slot availability is checked at the time of booking. The Platform uses a three-tier locking system:

  • Soft Lock — Temporary reservation during campaign drafting (expires after a configurable period, default 5 minutes)
  • PO Pending Lock — Extended reservation while awaiting purchase order confirmation (default 48 hours)
  • Hard Lock — Permanent reservation upon campaign approval

DigitalTag does not guarantee slot availability until a Hard Lock is confirmed. If a PO Pending lock expires without confirmation, the campaign may be automatically rejected and slots released.

7Billing, Payments, and Invoicing

7.1 Pricing

Screen pricing is set by Publishers on a per-day, per-slot basis. The total campaign cost is calculated as: Daily Rate × Number of Days × Number of Slots, summed across all booked screen regions. Applicable taxes, fees, and discounts are applied as shown in the invoice.

7.2 Invoicing

An invoice is generated for each confirmed campaign. Invoices include:

  • Invoice number (format: INV-YYYYMMDD-XXXXX)
  • Campaign details and line items
  • Subtotal, discount amount, tax/fees, and total due
  • Due date (default 30 days from invoice date)

Invoices are due by the date specified on the invoice. Overdue invoices may result in campaign suspension. DigitalTag reserves the right to apply late payment charges.

7.5 Refunds and Cancellations

Refund eligibility is determined on a case-by-case basis. Campaigns that are rejected during QC review before going live are eligible for a full refund. Campaigns that have already gone live are not eligible for refunds for days already served. Paused campaign days are not billed.

7.6 Discounts

Discounts may be applied by authorized DigitalTag staff only. Discount amounts or percentages are applied to the campaign subtotal before tax.
